The pay range for this position is $18.51-$24.06 Hourly. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location.

JOB PURPOSE: 

The Documentation Coordinator is responsible for the timely submission, retrieval, and management of medical documentation between physicians, referral sources, and internal teams to ensure medical necessity requirements are met for funding. This role plays a critical part in supporting accurate order processing, compliance with payor requirements, and a seamless customer experience. 

KEY RESPONSIBILITIES: 

  • Submit, track, and follow up on medical documentation requests with physicians, referral sources, and internal teams to ensure timely processing. 
  • Review medical records for completeness, accuracy, and compliance with payor and Medicare/Medicaid documentation requirements. 
  • Identify missing or incomplete documentation and proactively work with appropriate parties to resolve gaps. 
  • Maintain accurate records of documentation status within internal systems, ensuring real-time visibility for the team. 
  • Communicate documentation status, delays, or issues clearly to internal stakeholders, including sales, billing, and customer care teams. 
  • Support audit readiness by ensuring documentation meets compliance standards and is appropriately stored. 
  • Identify trends in documentation delays or denials and recommend process improvements to leadership. 
  • Assist with onboarding and training new team members on documentation processes, tools, and systems. 
  • Participate in continuous improvement initiatives to enhance efficiency, accuracy, and customer experience. 
  • Maintain knowledge of payor requirements, regulatory updates, and changes to documentation standards.

  • Provide excellent customer service for all internal and external customers of the operations at all times.  Provide solutions for customer concerns and continually focus on customer service as our top priority.

REQUIRED QUALIFICATIONS, SKILLS, AND EXPERIENCE: 

  • High School diploma or GED. 
  • Six (6) months of processing medical documentation. 
  • Proficiency in Microsoft Office Suite. 
  • Ability to work in a fast-paced environment and juggle multiple priorities. 

PREFERRED COMPETENCIES AND QUALIFICATIONS: 

  • Associates degree in relevant field. 
  • Ability to work in a fast-paced environment and juggle multiple priorities. 
  • Ability to think quickly, assess a situation and make a sound decision. 
  • Solid written and verbal communication, listening, organization and priority setting skills.
